Virtual Table

Host Guide

As a Virtual Table Host, your job is to guide and facilitate conversations during the breakout times. You will help create a safe and engaging space where attendees can reflect on the conference content, share their thoughts, and connect with others.

Key Responsibilities:

Engage attendees: Welcome everyone to your virtual table and help set the tone for meaningful conversations.

Facilitate discussions: Use the provided discussion questions to guide conversations. Feel free to add your own or let discussions unfold naturally!

Foster connection: Encourage participation and help attendees build relationships with one another.

Manage time: Keep an eye on the clock to ensure breakout discussions stay within the allotted time.

Help with tech: Ensure that all attendees are comfortable with the virtual platform and provide assistance as needed.

Detailed Schedule

Here’s a timeline of when your breakout discussions will occur. Each session will have a designated discussion period, but feel free to extend conversations if your group is deeply engaged!

  • Watch the online welcome video which will also explain to people about discussion tables & show them how to join

After the welcome, meet each other at tables and talk through the following:

    1. Introduce yourself with your name, where you are from, and what you do.
    2. What keeps entrepreneurs and pastors from doing more together?
      • We’ll automatically pull you out of tables & into the first session which will be approx. 49 minutes

       

      • After the second session, facilitate another discussion using the provided questions that will be on-screen on the streaming page or allow the conversation to flow naturally.
        1. What insights or wisdom did you gain from the opening video?
        2. What did the Barna research report unlock for you?
        3. Where do you see hope and opportunity in today’s discussion?
      • We’ll automatically pull you out of tables & into the second session which will be approx. 48 minutes

      If people have a hard stop at two hours, we recognize this might get skipped

       

      • If time allows, talk through these final questions:
        1. What’s the first step you feel called to take?
        2. How might you partner with an entrepreneur in your church?
        3. What would make hosting a group feel possible for you?

      Tech Support & Best Practices

      Before the Event

      Test your tech: Ensure your internet connection, microphone, camera, and video conferencing platform are working smoothly. Do a test run with a friend if needed.

      Familiarize yourself with the platform: The virtual conference will be hosted on a platform like Zoom, so be sure you’re comfortable with the breakout room features and screen-sharing options.

      During the Event

      Be a good moderator: Start each breakout session by introducing the discussion questions and giving a brief overview of the session’s key themes.

      Encourage participation: Some attendees may be more introverted—invite them into the conversation with open-ended questions or by asking for their thoughts directly.

      Monitor time: Keep an eye on the time and let the group know when it’s getting close to the end of the breakout session.

      After the Event

      Follow up: After the event, encourage participants to stay in touch with one another and take action on what they learned. If your group is interested, consider starting a follow-up meeting or connecting on social media.

      What are the technical requirements to be a Virtual Table Host?

      To be a Virtual Table Host, all you need is a stable internet connection, a computer with a microphone and camera, and access to the virtual meeting platform we’ll be using (likely Zoom). We’ll provide full details and training prior to the event.

        How do I prepare my table for success?
        • Promote the event: Share your table’s registration link with potential attendees well in advance. Encourage them to come prepared to engage.
        • Know your material: Review the discussion questions and the content from each session to feel confident leading the conversation.
        • Create a welcoming environment: Whether it’s your tone or your virtual backdrop, make sure your table feels comfortable and open.
        Do I need to be an expert to host a table?

        Absolutely not! We don’t expect you to be an expert in every topic discussed at the conference. Your role is to help facilitate conversation and encourage participation. Think of yourself as a guide, not a lecturer.

        How can I ensure my group stays engaged?
        • Ask open-ended questions that invite thoughtful responses.
        • Encourage everyone to participate—sometimes all it takes is a direct invitation.
        • Stay positive and enthusiastic! Your energy will set the tone for your group.
        What if someone has technical difficulties?

        If someone experiences technical issues during your session, be patient. Guide them through troubleshooting steps like checking their microphone or video settings. If the issue persists, you can help them contact the event support team.
